Privacy Policy
Effective July 29, 2026
This policy explains what Crane Integrated Facility Services (“Crane IFS”, “we”) collects, why, and what you can ask us to do about it. It covers our website, our web portals, and the Crane Field mobile app.
Who this covers
We hold information about four groups, and what we collect differs by group:
- Job applicants and employees — people applying to or working for Crane IFS.
- Field staff using the Crane Field app — our employees doing cleaning and inspection work on site.
- Subcontractor crew — people employed by a vendor we contract with, who clock in and out at our customers’ buildings. They are not our employees. We record their hours so we can verify the vendor’s invoice; their employment relationship is with that vendor.
- Client and vendor contacts — business contacts at the companies we work with.
What we collect
Location
The Crane Field app and our web time clock record your device’s location at the moment you clock in, clock out, or complete a task — to confirm the work happened at the building it was billed to.
- We do not track location continuously. There is no background location collection. Location is requested only while the app is open, and only at those moments.
- We store the coordinates, their accuracy, and the distance from the site. We do not build a movement history, and we do not use location for any purpose other than confirming presence at a work site.
- You can refuse the permission. On the tag-based time clock the punch still works and is simply recorded as unverified. On the location-only web clock, a punch cannot be verified without it.
NFC tag scans
Tapping the NFC tag at a site sends that tag’s identifier and a one-time cryptographic code to us. The tag identifies the place, not the person. We record which tag was read, when, and — once you identify yourself — by whom.
Camera and photos
Photos you take in the app to evidence completed work, and QR codes you scan. Photos are uploaded and stored with the task they document. The app does not read your photo library.
Time and attendance
Clock-in and clock-out times, the site, hours worked, and any exceptions flagged for review — for example a punch outside a site boundary, or one phone used by several people.
Identity and account
Name, employee or vendor employee number, work email and phone, and a hashed PIN or password. PINs and passwords are stored only as one-way hashes: nobody at Crane IFS can read them, administrators included.
Device information
A random device identifier so a phone can be recognised on later visits without re-entering a PIN, a coarse device description (for example “iPhone / Safari”), IP address, and — if you turn them on — a push notification token. We do not use advertising identifiers and we do not track you across other apps or websites.
Applicants and new hires
Application details, work eligibility, and for new hires the payroll and tax information required to employ you. Social Security numbers and bank details are encrypted at rest, access is limited to authorised staff, and every access is logged.
Why we collect it
- To pay people correctly and verify vendor invoices. This is the primary purpose of the time and location data.
- To show that contracted work was performed — task records and evidence photos for our customers.
- To operate the service — signing you in, remembering your device, sending notifications you opt into.
- To detect misuse — for example one phone clocking in as several different people.
- To meet legal, tax and wage-and-hour obligations as an employer.
We do not sell personal information. We do not use it for advertising or profiling, and we do not make automated decisions about people that produce legal effects.
Who we share it with
- Our customers — task completion records and evidence photos for their buildings.
- Your employer, if you are subcontractor crew — the vendor who employs you receives the hours we recorded for their staff, because that is what their invoice is settled against.
- Service providers who run the system on our behalf: hosting, email and SMS delivery, payroll, and any background-check provider you have authorised. They may use the data only to provide that service to us.
- Where the law requires it, or to establish or defend a legal claim.
How long we keep it
- Time and attendance records: at least four years, as wage-and-hour law requires, and longer while a dispute is open.
- Location readings attached to a punch: kept with that record for the same period, since their whole purpose is to substantiate it.
- Evidence photos: for the life of the customer contract and any warranty period.
- Applicant records: as required by employment law, then deleted.
- Vendor banking details: deleted from our systems once entered into the payment system.
How we protect it
Data is encrypted in transit. Sensitive fields — government identifiers, bank details — are additionally encrypted at rest. PINs and passwords are stored as one-way hashes. Access follows role-based permissions, administrative actions are written to an audit log, and time-clock credentials can be revoked instantly.
Your choices and rights
- Location: deny or revoke the permission in your device settings at any time. See above for what still works without it.
- Notifications: turn them off in your device settings.
- Text messages: reply STOP to any recruiting text to opt out.
- Access, correction, deletion: contact us using the details below. Some records — payroll and time records in particular — we are legally required to keep, and we will tell you when that applies.
- Subcontractor crew: you may ask us for the hours we hold for you. Questions about your pay, your schedule or your employment go to your own employer, not to Crane IFS.
Depending on where you live you may have additional rights under state privacy law. We follow the same process for every request regardless of where you are.
Deleting your account
To request deletion of your account and any data we are not legally required to keep, email us at the address below naming the account. We will respond within 30 days and tell you what, if anything, must be retained and why.
Children
The service is for workplace use and is not directed to anyone under 16.
Changes
If we change what we collect or why, we will update this page and move the effective date. Material changes affecting workers will also be communicated directly.
